What is Considered an Asset?
An Asset is any physical item or equipment within your building that requires tracking, maintenance, or record-keeping.
While a building is full of objects, an "Asset" for management purposes is generally something that has a lifecycle—meaning it needs to be serviced, inspected, or replaced over time to keep the facility running smoothly.
Common Building Assets
A good rule of thumb: If an item has a warranty, a service manual, or a regular maintenance schedule, it should be in your Asset Register.
Typical examples include:
- Electrical Infrastructure: Main switchboards, distribution boards, and emergency lighting.
- HVAC & Mechanical: Air handling units (AHUs), pumps, and exhaust fans.
- Fire & Safety: Fire panels, extinguishers, and sprinkler systems.
- Lifts: Elevator motors and control panels.
- Amenities: Gym equipment, pool pumps, and BBQ facilities.
Case Study: Are Switchboards Assets?
Yes. Even though they are "fixed" infrastructure, switchboards are critical assets. Adding a switchboard on each level to your register allows you to:
- Centralise Documentation: Store electrical diagrams, manuals, and compliance certificates directly against the specific board.
- Track History: Link every repair or circuit modification to that specific switchboard so you have a clear audit trail of changes over time.
- Manage Maintenance: Set up recurring tasks for thermal imaging or cleaning to ensure the board remains in good working order.
Managing Assets in Onsite
The Asset Register is designed to replace messy spreadsheets with a searchable, organised database. When adding an asset, you can capture:
- Category: Group assets by type (e.g., Electrical, Plumbing, HVAC) for easier reporting.
- Location: Identify exactly where the asset is located (e.g., Level 4, Risers Cupboard).
- Service History: View all past cases and work orders associated with that specific item.
Why Maintain an Asset Register?
By accurately identifying and logging your assets, you ensure that:
- Contractors know exactly which piece of equipment they are servicing.
- Compliance is easier to manage because you have a record of every inspection.
- Knowledge stays with the building, not in a single person's head or a private inbox.
