Printing and Locking Knowledge Base Article
Once a knowledge article is finalised, you'll often want to preserve it. Whether that's printing a hard copy of an emergency procedure to post in a building, or locking an SOP so it doesn't get edited by accident. Both options live in the top right of every article.
Printing an article
A printed copy is handy for noticeboards, plant rooms, induction packs, or anywhere a physical reference is more practical than a screen.
- Navigate through Knowledge into the platform.
- Open the article you want to print.
- Click the Print icon in the top right.
- Your browser's print dialog will open. From here you can adjust paper size, margins, or save as PDF.
- Click Print (or Save) to finish.
Choosing Save as PDF in the print dialog is a quick way to export an article for email attachments or archiving.
Locking an article
Locking prevents anyone, including you, from accidentally editing an article. Use this for finalised SOPs, compliance documents, or any content that shouldn't change without a deliberate decision.
- Navigate through Knowledge into the platform.
- Open the article.
- Click the Lock icon in the top right.
- The article is now read-only.
To unlock and resume editing, click the Lock icon again.
Locking only controls editing, it does not affect sharing. If a public link is enabled, the article will still be viewable via that link. See Sharing a Knowledge Article to manage public access separately.
